A Web Based Mobile App Alert, Advisory and Notification for Colegio de San Juan de Letran-Calamba (CSJLC)

Abstract:

Colegio de San de Letran Calamba has different departments that have their own transactions, and one of them is the Management Information System Department (MISD). This research was coordinated with the MISD about the maintenance and security of the system. The current process of student billing notice, which is under the Accounting Department, includes printed papers being distributed to the students’ respective departments. Given the high number of students in each department, the people in charge of disseminating the billing notice to each student encounter great difficulty. With the help of this proposed system, the distribution of notice will be easier for the said department because of the new feature provided. In the proposed system, the students, as well as their parents, can be notified of their billing notice through a mobile application. Another concerned office is The Office of Student Affairs (OSA), which handles the student services, such as violations, referrals, and other concerns. The current process of the OSA Department is that they use printed papers or forms for the concerned students to be filled up and for calling their attention. The problems being encountered by the selected offices of the Colegio are: 1) they have two main departments that provide services to both students and parents; and 2) both departments have their respective processes of notifying the students and parents regarding student concerns. Printed papers are distributed to students and such serve as reference which may easily be misplaced. In addition, the production process for these printed announcements is time-consuming. The Colegio does not have a system that enables the parents to be notified about their children’s logging in and out of the school premises. With the help of the system, it ought to provide better services for the Colegio benefited to the students, parents and selected offices. The researchers used qualitative type of research to know the problems and to provide necessary solution for it. Based on the survey conducted, the researchers found out that the system really provides better dissemination of information and reliable reference for the students, parents, and selected offices. The system helps the Colegio extend their services for the concerns of their applicants. To further enhance the system, future researchers must include a total number of transactions for accounting department, including the breakdown of fees with details and the same with OSA department, including generation of report and revised task. Future researchers may also enhance the system by linking the scanner app to the current technology in the Colegio.
