Records Management Practices in the Maritime Industry Authority: Basis for Enhancement

Abstract:
The study evaluates the records management practices at the Maritime Industry Authority (MARINA) – Central Office, focusing on their implementation and the challenges encountered. Utilizing a descriptive research design, the study examines records management practices across five areas: policies and procedures, records inventory, appraisal, document retention, and disposition. It also investigates the problems experienced in these areas and their relationship to the effectiveness of records management. Data were collected from 303 participants using a questionnaire adapted from existing tools, with statistical analyses employed to explore significant differences and correlations. Findings reveal that records management practices are generally implemented, with document retention scoring the highest in implementation. However, challenges in appraisal, retention, and inventory indicate areas for improvement. A negative correlation between the level of implementation and encountered problems highlights the importance of robust practices in mitigating challenges. The study proposes an action plan emphasizing enhanced training, comprehensive records inventory, standardized classification systems, infrastructure improvements, and regular policy appraisals. These recommendations aim to optimize records management for improved operational efficiency and regulatory compliance. The findings contribute valuable insights into enhancing public service delivery through effective records management and underscore the need for continual development in organizational practices.
